How I Built an AI System That Runs My Entire Music Business

Most music producers spend more time doing admin work than making music. Scheduling calls, answering the same questions, invoicing, following up—it's endless.

I got tired of it. So I built an AI system that handles most of my business automatically. Here's exactly how it works.

The Problem

Running a music production business sounds fun: make beats, work with artists, create. The reality?

  • "Hey, what's your turnaround time?" — answered 50+ times
  • "Do you do revisions?" — answered 50+ times
  • "Can I get a discount?" — answered 50+ times
  • Sending invoices, tracking payments, following up...

I was spending 3-4 hours/day on tasks that didn't make me money. That's 20+ hours a week—time I could be producing.

The Solution

I built an AI assistant (I call her Séraphine) that handles the repetitive stuff. Here's what she does:

  1. Answers common questions 24/7 — Pricing, turnaround, file formats, licensing—she handles it
  2. Schedules bookings automatically — Clients book directly through my calendar
  3. Sends invoices — Triggered by confirmation, no manual work
  4. Follows up with leads — "Hey, still interested?" sent automatically after 3 days
  5. Processes orders — Sample pack purchases handled end-to-end

The Tech Stack

You don't need to be a coder to set this up. Here's what I use:

  • Custom AI assistant — Built on Claude/GPT, trained on my business info
  • Cal.com — Free booking calendar with confirmation automation
  • Stripe — Payments, invoicing, webhooks for automation
  • Email — Auto-replies and sequences
  • Discord/Telegram — Where the AI actually "lives"

How It Works (Technical)

Here's the flow:

1. Client messages via website/Discord/Telegram
2. AI checks knowledge base for answer
3. If known → respond instantly
4. If unknown → flag for me
5. Client wants to book → calendar link sent
6. Booking made → invoice generated automatically
7. Payment received → files delivered

Total manual intervention: Zero for most transactions.

Results

  • 20+ hours/week recovered — Back to making music
  • Response time: instant — Even at 3am
  • More bookings — No lead gets lost
  • Better client experience — Fast, professional, consistent

What Still Requires Me

The AI handles the business side. What I still do:

  • Making beats (the creative stuff)
  • Mixing & mastering
  • Client relationships on big projects
  • Strategy & big decisions

The goal isn't to replace me—it's to remove the busywork so I can focus on what actually matters.
